Help! I created my team's reviews for the wrong stage

If you create reviews for the wrong stage (usually by listing the wrong stage in the Review Scheduling Workbook) you'll want to fix the problem. Because Submissions and Evaluations are automatically created when Reviews are created, it's generally easiest to delete the wrong reviews and create the correct ones. The process for doing this depends on whether or not there have been submissions or evaluations submitted by the team and the grading coaches.

Saving Submitted Files

If teams have submitted Submissions and/or coaches have submitted Evaluations, you MUST save the submitted files before you delete the Submission and Evaluation, respectively. Otherwise, you will need to ask the teams and/or coaches to resubmit. And you don't want to do that!

  1. Find existing submissions and evaluations
    1. Go to your capstone dashboard, and select Reviews, Submissions, and Evaluations / My Pods / My Grading Responsibilities (https://byucapstone.byu.edu/my-grading-responsibilities/all)
    2. Click on the Review Date and Time column header to sort most recent first
    3. Note which teams have Submissions in the state Submitted or Submitted (Late).
  2. For each team with a submission, click on the submission link.
    1. Download the submitted file using the link on the submission page
    2. Click on each of the Evaluation links on the submission page
      1. If an evaluation has been completed, record the Grade, and download the scoresheet and comments file
  3. Repeat until all submitted files have been downloaded and the grades recorded

Deleting submitted files from Box

NOTE: Download the files as described above before deleting them from Box

  1. Go to Box/Capstone Master/Submitted Files /<School Year> Submitted Files/
  2. Submitted Evaluations will be found in <School Year> Report Evaluations / Team <#> <School Year>
  3. Submitted Submissions will be found in <School Year> Team Submissions / Team <#> <School Year>
  4. Be sure to only delete the files that you have already downloaded. However, they will be sent to trash, and you can recover them if you do so within 30 days

Deleting Reviews

NOTE: Do not delete the Evaluations and Submissions before submitted files have been downloaded .

  1. Open [https://byucapstone.byu.edu|the Capstone website]]
    1. Click the Content tab in the light gray menu bar near the top of the page.
    2. If there is no light gray menu bar, click on the Manage button on the black bar at the top of the page. The light gray bar will then appear.
  2. Delete Evaluations
    1. Select the Content Type of Evaluation
    2. Type the short name for the stage in the Title box. If you don't know the short name for the stage, you can find it by typing one of your team numbers in the the Title box. Then, after clicking Filter, you'll see the available reviews for your teams.
    3. Click the Filter button
    4. Select all the Evaluations that belong to your teams. You can probably tell your teams' evaluations by the last modified date. Be sure not to select any evaluations for teams belonging to other instructors' pods
    5. You can go to the next page of content and select additional evaluations. The total number of evaluations selected will show in the Action section, immediately below the action dropdown.
    6. Select Delete content in the Action dropdown
    7. Click the Apply to selected items button
    8. Confirm that you are sure you want to delete them. They will then be deleted. You cannot undelete them!
  3. Delete Submissions
    1. Select the Content Type of Submission
    2. Type the short name for the stage in the Title box. If you don't know the short name for the stage, you can find it by typing one of your team numbers in the the Title box. Then, after clicking Filter, you'll see the available reviews for your teams.
    3. Click the Filter button
    4. Select all the Submissions that belong to your teams. You can probably tell your teams' evaluations by the last modified date. Be sure not to select any submissions for teams belonging to other instructors' pods
    5. You can go to the next page of content and select additional evaluations. The total number of evaluations selected will show in the Action section, immediately below the action dropdown.
    6. Select Delete content in the Action dropdown
    7. Click the Apply to selected items button
    8. Confirm that you are sure you want to delete them. They will then be deleted. You cannot undelete them!
  4. Delete Reviews
    1. Select the Content Type of Review
    2. Type the name for the stage in the Title box. If you don't know the name for the stage, you can find it by typing one of your team numbers in the the Title box. Then, after clicking Filter, you'll see the available reviews for your teams.
    3. Click the Filter button
    4. Select all the Submissions that belong to your teams. You can probably tell your teams' evaluations by the last modified date. Be sure not to select any submissions for teams belonging to other instructors' pods
    5. You can go to the next page of content and select additional evaluations. The total number of evaluations selected will show in the Action section, immediately below the action dropdown.
    6. Select Delete content in the Action dropdown
    7. Click the Apply to selected items button
    8. Confirm that you are sure you want to delete them. They will then be deleted. You cannot undelete them!

Create New Reviews

Following the process described in Stages and Reviews to upload a new CSV file with the proper stage. You will most likely be able to change your previously uploaded file to change the stage ID and keep all the review times the same.

Re-upload the submitted files

You will need to re-upload the submitted files that you have downloaded. Follow the process below for each team whose submissions you have downloaded.

Upload team submissions

  1. Masquerade as a team member
    1. Go to your Capstone Dashboard
    2. Click on the Student/Teams menu item
    3. Scroll to the team number whose submission you wish to upload
    4. Click on one of the student NetID links for that team. It doesn't matter which one you choose.
    5. Click on the Masquerade as <NetID> link immediately below the student photo
  2. Upload the submitted file
    1. Click on the See All Team Reviews link
    2. Click on the appropriate review
    3. Click on the submission link
    4. Click on the Choose File button in the PDF
      1. Click on the Upload button when it appears
    5. Click on the Complete Submission button
    6. Log out of the Capstone website to end your masquerade,

Reset team submission status

In most cases, this new submission will be listed as late, even though it was submitted on time by the team. To reset the submission status, Navigate to the submission as described above in Saving Submitted Files. Change the workflow state to Submitted, and click the Update Workflow button.

Upload submitted Evaluations

Navigate to the submission for the team as described above in Saving Submitted Files. Then click on the Evaluation you wish to upload.

  1. Click on the edit tab
  2. Enter the grade in the Grade box
  3. Click the Choose File button in the Scoresheet File box and select the appropriate scoresheet file
    1. Click the Upload button when it appears
  4. Click the Choose File button in the Comments File box and select the appropriate comments file
    1. Click the Upload button when it appears
  5. Check to make sure the grade still appears in the Grade box
  6. Click Save
  7. If the Evaluation state is not Complete, select Complete from the dropdown, and click the Update Workflow button.
  8. Repeat until all of the downloaded evaluations have been uploaded.

After doing all this, it's almost certain you'll never make that mistake a second time!
