The following office resources are available to help you complete your work. If you don't see something you need, please ask the Capstone Office if they can help you get it.
Department conference rooms are available for Capstone teams who are hosting sponsors on visits. Please schedule the rooms with the appropriate department. You may not schedule department conference rooms for regular Capstone team meetings. Please see Team Workspace for information on regular team meeting spaces.
Virtually all locations on campus have WiFi connections through either the eduroam or BYU WiFi networks. Visit https://caedm.et.byu.edu for more information on connecting to the WiFi networks.
BYU has a site license for Zoom, so holding a Zoom meeting is free and time is not limited when you log in using your netid@byu.edu. To set up for a Zoom meeting, go to https://zoom.byu.edu. You can also use Teams for video conferencing.
Different sponsors have different video conferencing requirements, so please adjust accordingly.
Each team has its own LDAC (Long Distance Access Code) to place long distance calls from campus phones. This code cannot be used when calling from off campus. Use this for any project-related phone calls on campus. Your team account will be charged for the calls made. Do not share your LDAC with others. Keeping it confidential will prevent unauthorized charges. Your team LDAC will be emailed to you by the Capstone office shortly after project teams are formed.
To call from any campus phone: dial 1-area code-phone number, wait for beeps, then enter your LDAC.
Campus phones do not require an LDAC for local and toll free calls.
Most BYU phones are equipped for conference calling. The following steps describe how to initiate a conference call:
Testing this process with other team members ahead of time may be helpful before initiating a sponsor conference call.
Your team may request a large locker assigned to you on the first floor of the CB or the fourth floor of the CTB. These lockers are given on a first come, first served basis.
Students can send and receive faxes as needed. Please contact the Capstone office staff if you have any fax needs.
Each team has a Box folder that provides for secure cloud storage of your project work, with provisions for collaborative online editing of your documents.
You are required to use Box, rather than Google Drive, because of the security provided by Box. Using Google Drive can allow your documents to be located by a public Google search if default security settings are used.
The required Box folder structure is listed at Project Data Archive. Please use this structure to facilitate future reference to your work.
For collaborative editing, you can use the Online Editing function provided by Box. However, this function does not provide access to the full formatting capabilities of Word. For final formatting, you will want to turn off Online Editing, and edit the file on your computer. To prevent somebody else from overwriting your changes, you should lock a file before editing in on your computer. After making the changes, unlock the file to allow others to edit.
Each member of your team is part of a CAEDM group that allows you to print project documents on CAEDM printers and charge the printing to the Capstone team account.
The name of your CAEDM group is capstone#, with # replaced by your team number.
Work produced for your project should be printed using project funds through the CAEDM group printing queues. This is the Capstone approved printing method. Do not use Cougar Creations, Kinko’s, or any other outside vendor for team printing.
To charge printing to your team account, select “Charge a group account” on the CAEDM print screen and select your capstone group. Once you have printed the job, you must release it to the printer.

Each team has an initial balance of $150 in printing funds in CAEDM to print reports. Please contact the Capstone office if you need more funds added to your account. All CAEDM printing charges will be charged to your project budget.
Please be judicious about printing color copies. Color printing is significantly more expensive than black and white. Be sure you need color when you print color. Drafts may not require color. Also, note that every page printed on the color queue is charged at the color rate, so don't print a 20-page document with only one color page on the color printer.

You can email every member of your team by
sending an email to capstone#-l@et.byu.edu
(where # represents your
team number). This alias forwards email to the coach and each team
member's personal email account as listed in our database. However, people who
are not on the email list will not be able to send email to this list! For
example, your sponsor will not be able to email you using the CAEDM email list.
If you need a workaround for this, please speak with the Capstone office.
Capstone will generally use your team CAEDM email list when it is desired to contact all members of your team.
