Capstone Project Wiki

As a Capstone coach, you have many responsibilities and tasks to accomplish. This section is a quick start guide for new and returning coaches.

Get Hired

If your hiring is not completed with HR work with the Capstone office to complete it.

1. Watch for, sign, and send both coach contracts via email. There will be 2 emails each containing a contract, one for Fall and one for Winter. You must electronically sign BOTH contracts and submit them in the HR system within a few days.
2. Verify I-9 status by going to ASB D-70 and showing a combination of documents. This must also be done within a few days of being hired as HR directs.
3. Set up the secure 2-step verification system called Duo to access all Capstone electronic sites through the University’s Central Authentication System or CAS. You can learn how to set this up and access it at the following link:
4. Create your Capstone website Profile.
   1. Go to the Capstone website and click “Get Capstone Access.”
   2. Use your NetID and password (CAS Login).
      1. These are the same credentials you used to apply through Y Jobs.
   3. Fill out all needed info and hit save.
      1. This is what your team will use throughout the school year to contact you.
   • The capstone website is used for submitting team assignments, approving order for your team’s purchases, and accessing and monitoring your team’s budget. A page of team contact information for all your team members is also an important part of the Capstone website.
5. Follow instructions on the Capstone website to complete the Capstone Non-Disclosure Agreement (NDA).
6. Get your BYU ID card at the Benefits Office of the Administration Building (ASB D-240) or in the Student ID Center in the Wilkinson Center (1057 WCS) when you come in to complete your I-9 status, or shortly thereafter.
7. Set up direct deposit by going to myBYU, clicking on “Work” under “Campus Links” and selecting “Direct Deposit.”

Get Assigned a Project

1. Attend the coach training meeting usually held the Tuesday prior to the first week of class.
2. Bid on projects by Wednesday preceding start of classes.
   1. Rate your interest in projects on your Capstone Dashboard by giving projects you really like three stars, projects you’re interested in two stars, and projects you’re willing to work with one star.
3. Rank students who bid on your project by Friday preceding start of class.

Get Familiar with Capstone

1. Familiarize yourself with the responsibilities and tasks of a Capstone coach in this Capstone coach wiki and course syllabus.
2. Follow reading modules in the wiki (LINK). These modules include items such as the syllabus, at-a-glance, and other important readings in manageable groupings.
3. Browse through the textbook to see what it contains.
4. Glance at the software project textbook.

During the First Six Days of Class

The first six days of class include instruction on introductory material for the Capstone course. Starting the second day the class is grouped by pod instructor.

1. Coaches are expected to attend days two and six, and we suggest coaches attend day three as well. Coach attendance on the other days is optional.
2. Download and sign into the BYU app from the Google Play or Apple App Store to access Learning Suite, Mobile Dining, parking, and other BYU resources.
3. Access the BYU Wi-Fi.
   1. BYU-WiFi: NetID and Password to login
   2. Eduroam: NetID@byu.edu and Password to login. Note: This is the more secure Wi-Fi network if you have confidential documents you are working with
4. Go to Box, sign in with your CAS login, and verify that you have access to your “Team Materials” folder.
   1. This is your team folder for this year of Capstone.
5. Check for Learning Suite access by going to Learning Suite and logging in using your CAS login. Learning Suite is the online access to class content including assignments, announcements, exams, and grades. If you are not able to log in, contact the Capstone office.
6. Complete all steps of the safety training to gain access to your team’s lab space and encourage your students to complete this as well. Once authorized, you will scan your BYU ID card to enter the lab space.
