Capstone Grades

The following checklist describes the actions to be done prior to submitting grades.

Stage Approvals

There are points provided for achieving stage approval. In order to have these points properly awarded, we need do the following:

  1. Have each instructor verify that the approval status is correct for all of their teams. It's easy to check this at https://byucapstone.byu.edu/my-reviews. The status can easily be changed by clicking on the review link.
  2. Download the review status points at https://byucapstone.byu.edu/stage_approvals_export.csv.
  3. Open stage_approvals_export.csv in Excel
  4. Create a pivot table with Team number as the row label, Stage as the Column Label, and Maximum of Approval Points as the Values entry
  5. Copy the pivot table to a new workbook as values only.
  6. Delete the first row
  7. Change the Row Labels value to Team
  8. Delete the Grand Total column
  9. Save the workbook as a comma separated values (NOT CSF UTF-8 comma separated values)
  10. Send the saved workbook to Kari to convert them from Team to Individual scores
  11. In the future, we may want to use Learning Suite Team Assignments, so we don't need to use the Team to Individual score converter that Kari has.

Final Exam

  1. Each instructor needs to score the exam questions to which they have been assigned
  2. After all the scores have been entered, make sure that all of the grades have been accepted by Learning Suite
    1. Go to the Exam List
    2. Click on the Score button for the exam
    3. Click on the Results Menu at the left-hand side of the page
    4. You can find missing scores in two ways:
      1. From the Question Details sub menu
        1. Click on the Question Details sub menu
        2. If there are any scores not entered on a particular question, the Question Details page will say
          Some scores not entered (Score now) for that question
        3. To find the score that you have missed, go to the Results menu, choose the Exam Summary submenu, and click on the Export Student Answers button. This will give you a CSV containing the answers and the scores. Look for answers that have a zero score and a non-blank answer. Those are likely the ones you need to score.
      2. From the Results Menu
        1. Search on the page for Score Now (instead of View/edit)
        2. Every place you find Score Now, click on the link
        3. Scroll through the questions to see which one is not answered.

Individual Contribution Assessment

  1. Instructor first adds the assignment
    1. Set the title, following the pattern (like Fall Midterm Individual Contribution)
    2. Set the school year and due date desired
    3. Once the new assignment is saved, the scores can be submitted by the coaches
  2. Get ICA scores submitted by coaches
    1. Pod instructors need to follow up with the coaches in their pods
    2. Submission status can be checked at Individual Contribution Scores Submitted (available from Reviews, Submissions & Evaluations → My Pods → My Pod Individual Contributions). Typing “Midterm” or “Final” into the Assignment box will let you see only one of the submissions.
    3. Once all scores are submitted, they can be transferred to Learning Suite by the following
      1. ii. Open the CSV file in Excel, and create a pivot table (click on Insert on the top tab row, then select all data in spreadsheet, then Pivot Table (top left corner), then New Worksheet, then use NetID as the row label (drag Net ID into the Rows box), and Assignment as the column label (drag Assignment into the Columns box), and Grade as the Values (change Value from Sum of Values to Max of Values)
      2. Copy the data from the pivot table into a new workbook with Paste Special/Values
      3. Save the new workbook as a CSV
      4. Use the new workbook to upload the scores to Learning Suite from Grades/Import

Coach and Peer Evaluation

  1. Get final Coach and Peer Evaluation scores entered
    1. Paula has CSV files for the Coach and Peer Evaluations that were submitted
    2. Get the NetIDs from those files
    3. Add a 100 for each NetID in the file
    4. Save them as a CSV
    5. Import the results to Learning Suite

Online Evaluation Extra Credit Scores

As long as the online evaluation has been created a a Student Ratings assignment in Learning Suite (see https://softwaresupport.byu.edu/learning-suite/instructor/assignments/specialized-assignment-types), the online evaluation scores will automatically be added to Learning Suite without the instructors doing anything.

Final Report Grades

  1. Get Final Report grades submitted by grading coaches and (if necessary) instructors
    1. Pod instructors need to follow up with the coaches in their pods
    2. Submission status can be checked at My Pod Final Evaluations (available from Reviews, Submissions & Evaluations → My Pods → My Pod Final Evaluations)
    3. Instructors grade reports where scores by the two grading coaches differ by 7 points or more
    4. Instructors should NOT enter grades for report where the scores differ by less than 7 points.
  2. Give Final Report grades to Kari to place in her LS upload spreadsheet
      1. If the links don't work, you will need to fix the views. This is the procedure
        1. Go to the gray management menu on the website and select structure
        2. Edit the Final Evaluations by Pod view.
        3. Go to the Export Fall Report Grades or Export Final Report Grades Display, depending on the semester.
        4. The most likely reason for having no records to export is a bad filter on the view.
        5. Click on the (Evaluations in Submission) Content: Title (exposed) filter criterion.
        6. Make sure that the filter contains test appropriate for the name of the evaluation.
    1. An Excel spreadsheet to calculate the final grades is available on Box at Capstone Master/Instruction Materials/Grading Worksheets/Final Report Grade Calculations.xls. Use the spreadsheets as follows:
      1. Copy columns L through O from Final Report Grade Calculations.xls to the downloaded grade csv file
      2. As necessary, copy the cells down (for more teams) or delete them (for fewer teams)
      3. Once all grades are properly in place and the calculations are correct, copy columns K and L from the downloaded grade csv file.
      4. Paste them special (Values only) to a new workbook
      5. Sort the new workbook by Median (column B)
      6. Delete all the rows with a blank Median value
      7. Sort the new workbook by Team (column A)
      8. Save the new workbook to share with Kari.
      9. Kari will upload the team scores to all the individuals on Learning Suite
      10. After Kari has uploaded the team scores, adjust the team score for the individuals who have less than 70 on ICA.

Professionalism Scores

  1. Create a professionalism score for each team
    1. This includes all the items listed in Learning Suite, plus the professionalism that the office tracks.
    2. You can export a CSV with all of the columns from Learning Suite to make sure you have all of the items. But you will want to enter only one score per team, rather than one score per student.
    3. Give the scores to Kari to place in her LS upload spreadsheet

Final Checks

  1. Make sure all unsubmitted grades are converted to zeros
    1. This is easily done by exporting all grades from Learning Suite, making sure that the Zero all unscored items box is checked, and then importing the exported file.
  2. Review the final grades on LS to ensure they make sense
  3. Each instructor must submit his or her grades from Learning Suite
    1. The first instructor to submit will see a Submit button.
    2. The remaining instructors will see a message that grades have been submitted, and will see a Resubmit button.
    3. You must hit the Resubmit button to submit the grades for your section.
    4. Look for the email from the registrars office that your grades have been submitted.
    5. The email asks you to check on AIM for the grades (and gives you a link to do so). Follow the link to make sure.
