Winter Planning Review

The Winter Planning review takes place during the first two weeks of Winter semester. You will request a review date in the Project Milestone Table. The date will be scheduled to be compatible with the schedules of the instructors and the review coaches. No written deliverables are required for the Winter Planning Review. During the review, the team makes a presentation of their approved architecture and plans for successfully completing Subsystem Engineering. The reviewers will evaluate the plans and recommend suggested and required changes in the design plans.

Detailed engineering has yet to be completed at the time of the Winter Planning review, so you will not yet have completed your design. However, you should have already ordered long-lead-time components and should have detailed plans for modeling, prototyping, and testing your subsystems.

The artifacts listed below the questions are suggested artifacts that you may wish to develop as you answer the questions.

Questions

  1. What needs to be done to complete subsystem engineering? This should include the following:
    • Off-the-shelf components to be purchased
    • Components to be designed and manufactured
    • Engineering models to be made of the system and/or subsystem
    • Prototypes and testing plans for the subsystems
    1. Primary Artifacts:
      • System architecture document that describes the architecture of the system and any subsystems and defines the key technologies that will be used in these elements. It should also identify which parts of the architecture are off-the-shelf and which are custom designed. NOTE: This artifact was prepared as part of Architecture approval. It should be updated as appropriate
      • Bill of Materials NOTE: This artifact was prepared as part of Architecture approval. It should be updated as appropriate.
      • Modeling plan
      • Testing plan
    2. Supporting Artifacts:
      • System Design Package at its current state. The design package will not be complete. But you should show where you are. The characteristics of a complete System Design Package are listed under the Supporting Artifacts for the Subsystem Engineering Stage Review.
  2. What is the planned schedule for completing the work listed above, what resources are needed, and how do you know the schedule and resources are appropriate?
    1. Primary Artifacts:
      • Project Plan for subsystem engineering. Your plan may take the form of a Planning Canvas (Section 11.47 of Product Development), an activity map with the critical path identified (Section 11.13 of Product Development), a Gantt chart, a Scrum Task Board, a collection of Slack tasks, or any other mechanism the team selects. It should include tasks, scheduled time, and scheduled resources, and should be capable of being tracked. It should be consistent with, but more detailed than, the Project Milestones Table.
    2. Supporting Artifacts:
      • There may be no supporting artifacts for this part of the Winter planning review.

Content

No written documentation is submitted in advance for the Winter planning review. You will need to make a presentation that covers the information in the primary artifacts listed above. You may wish to bring copies of the artifacts or to provide links to the artifacts that the reviewers can use during the review if more details are necessary than are provided in the presentation.

Mechanics

The Winter planning review has the following mechanics:

  1. The team answers the review questions and creates artifacts containing the answers. The artifacts are not submitted in advance, but copies or links are provided at the review.
  2. At the review, the team delivers a 10-minute presentation that addresses the review questions. The presentation will likely contain excerpts from the artifacts that were prepared.
  3. The team and the reviewers will discuss the architecture that was presented. Suggestions for changes in the architecture will be given.
  4. The reviewers will decide on and communicate the outcome of the review. There are three possible outcomes:
    • Winter planning approval is granted unconditionally. When approval is granted, the team proceeds to engineer the system according to the approved plan.
    • Winter planning approval is conditionally granted, subject to the team making some required revisions in the artifacts. The team must clear the revisions with their pod instructor before approval is granted. After getting approval, the team proceeds to Subsystem Engineering according to the approved plan.
    • Winter planning approval is denied. The team will need to improve the artifacts, schedule a new review, and return to step 2.

Formatting

Artifacts created as part of the preparation for the Winter Planning Review should be formatted according to the instructions in Artifact Formatting.
