Vehicle Rental
Local project-related travel should be completed in a BYU vehicle or with a commercial provider.

Services and Policies:
- Rental vehicles for any Capstone travel in Utah.
- Rental cost will be charged to your team account
- Special training is required for 12-passenger vans and box trucks.
NOTE: you do not make arrangements to rent a vehicle directly with the Vehicle Rental office. You must work with the Capstone office to make these arrangements.
NOTE: Special training is required to rent 12-passenger vans or box trucks, and to tow tandem-axle trailers. You can receive
the training by going to training.byu.edu , selecting "Catalog"
followed by "Risk Management and Safety", and choosing "CMV Training Program" (for box trucks or tandem-axle trailers) or "Van Driving" (on the third page, for vans) and following the instructions there. Please allow time to
complete the training before you need to rent the vehicle.
If the car is needed before the Vehicle Rental office opens in the morning at 7 AM, you may pick it up before 4:30 PM the day before. You can also drop off the vehicle after 5:00 pm if needed –– park in “A” lot 29 on the south side of 900 North and leave the key in the drop box on fence.
Procedure for renting a vehicle
NOTE: In order to have access to the online Capstone Purchasing system, you
must score at least 90% on the Capstone Purchasing Exam available on
Learning Suite. You can take the exam as many times as you would like.

- Create a Capstone Vehicle Rental Request by going to https://byucapstone.byu.edu/dashboard and clicking on “New Vehicle Request”.
- At the vehicle request screen:
- Enter the time and date that you would like to pick up the vehicle.
- Enter the time and date that you will drop off the vehicle when you are done traveling.
- If you are requesting a 12-passenger van or a box truck, and a member of your team who will drive has a valid BYU Van Card or BYU Truck Card, check the “Valid Van Card” box.
- Enter the destination city.
- Enter the trip purpose.
- Select the Preferred Vehicle of your choice.
- Click the ``Submit'' button on the request. This will save the request and send the information to the Capstone office.
NOTE: The Vehicle Rental office charges a fee for no-shows. If you fail to pick up
your vehicle as scheduled, you will be charged a $20 fee. To avoid this
fee, please do the following if you decide you no longer need a scheduled
rental:
- During office hours, call the Capstone office at 801-422-4847. They will cancel your reservation for you.
- Outside of office hours, leave a message at the Vehicle Rental office (801-422-5544) informing them you no longer need your vehicle. Also, leave a message at the Capstone office (801-422-4847).
